Privacy policy
Last updated: 26 October 2026. This policy explains how Tradie Office Assistant (run by The Trustee for SOFTCYCLE RECYCLING TRUST, trading as Softcycle, ABN 92 725 305 882, Melbourne, Victoria) ("we", "us") handles your personal information. We aim to follow the Australian Privacy Principles.
What we collect
- What you type into our form: your trade, business name, state or territory, website (if you give it) and email address.
- Whether you ticked the box to get emails from us, and how far you got through the form.
- Payment details are collected and handled by Stripe, not us. We see your name, email, the amount and whether payment went through. We never see your full card number.
- Basic technical info our host (Cloudflare) records, like the country you're browsing from.
Why we collect it
- To make your package: we read your public website and general information about your trade.
- To email your package and your tax invoice.
- If you ticked the box: to send occasional emails about your package, e.g. a reminder if you didn't finish checking out, or tips on using it. Every email has an unsubscribe link, and we stop when you ask.
Who we share it with
We don't sell or rent your information. We use these service providers to run the site, and they may store data outside Australia (for example in the USA):
- Cloudflare (website hosting)
- Stripe (payments)
- Resend (sending emails)
- An AI assistant that runs on Grok Bot, which we use to prepare and send your package
Your Grok Bot account
The assistant you set up runs in your own Grok Bot account, connected to your own email and other accounts. We don't have access to it, your passwords or anything it does. That's between you and X/xAI under their terms and privacy policy.
How long we keep it
We keep order records for as long as tax law requires (generally 5 years). If you didn't buy, we delete your form details within 12 months, or sooner if you ask.
For each order we also keep copies of the package files we prepare for you (setup guide, bot instructions and tax invoice) and the trade research behind them, so we can help you if you get stuck and send your package again if you need it. We keep these for 5 years, the same as our tax records.
Access, correction and complaints
You can ask to see, correct or delete your information, or make a complaint, by emailing tradieassistant@mail.grokbot.com. We'll reply within 30 days. If you're not happy with our answer, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
